Members, roles, and your workspace

What a workspace holds, what Owners, Admins and Members can each do, how to invite people, and when a project collaborator fits better.

VoiceDeck bills on storage, not seats, so adding people to your workspace never changes what you pay. This article covers what a workspace is, what each role can do, and how to choose between a member, a collaborator and a client reviewer.

What a workspace is

A workspace holds your projects, your people and your storage. Its name sits in the top bar.

One account belongs to one workspace. There is no workspace switcher, because there is nothing to switch between — if you need to work inside another agency's project, they add you to it as a collaborator rather than as a member.

The three roles

Everyone in a workspace holds exactly one of three roles.

Member — creates projects and reviews work. A member can upload, comment, approve and organise files anywhere in the workspace, and can fully manage the projects they created themselves: rename them, change their status, invite collaborators, create share links, delete them. They cannot manage a project somebody else created, and they cannot reach member management or workspace settings.

Admin — everything a member can do, plus the people and the workspace itself. Admins invite members, change roles, deactivate and reactivate them, and edit the workspace name and logo. They can also manage every project, not only their own. (The read-only role badge spells this out as "Administrator" while the dropdown says "Admin" — same role.)

Owner — the account that created the workspace. Everything an admin can do, plus billing under Plan & usage, removing members permanently, and managing other admins: only the owner may change or deactivate an admin. The owner's own row cannot be changed or removed.

The invite dialog states the split in one line: "Members create projects and review work. Admins can also manage members, workspace settings and billing."

Inviting a member

Go to Settings → Members. Choose Invite, enter an email address, pick Admin or Member, then choose Send invite. Owner is not an invitable role.

The invitation sits under Pending invites until it is accepted, with Resend and Cancel beside it. Resend has a short cooldown, so the button greys out briefly after each send and tells you when it lifts.

One case surprises people. If that email already has a VoiceDeck workspace of its own, the invite is refused — one account belongs to one workspace, so they cannot also be a member of yours. The dialog points you at inviting them to a project as a collaborator instead, which is usually what you wanted for a freelancer anyway.

Deactivating and removing

Two different actions, kept deliberately apart:

  • Deactivate — reversible. They lose access immediately and can be reactivated later. Nothing is deleted.
  • Remove — permanent, owner-only, and confirmed by typing the person's email address. They have to be invited again from scratch.

Either way their comments, approvals and uploads stay exactly where they are. Taking someone's access away never edits the record they left behind.

Members are unlimited

Every plan, including the free one, allows unlimited members. There is no per-seat line to budget for; storage is the meter. Adding an editor, a producer or a long-term freelancer to the workspace costs nothing.

So why not add everyone as a member? Because a member sees the whole workspace — every project, every client. That is right for your own staff and wrong for an outside freelancer who should only see the one job they are on. For that person, use a project collaborator grant, which reaches one project and nothing else.
