01 / The multi-client problem

Four clients in flight is the normal week.

Tools built around a single team and a single project make an agency do the separation by hand: a folder convention, a rule about who gets added to what, and a quiet hope that nobody forwards the wrong link. It holds until the week you are busy.

The separation has to be structural. Access is granted per project, so a client contact or a freelance editor is attached to the one job they are on and nothing else. Nobody is added to the workspace to be shown a cut.

02 / How the flow maps to it

A project per job, a link per client.

Upload the cut, share the project or just the folder you want seen, and send the link. The client opens it in a browser and reviews straight away — no signup, no password, nothing to install. They are asked for a name only when they first write something, and email is optional.

When the recut is ready it goes up as a new version on the same file. The earlier round stays readable, and your team can put the two versions side by side to check what actually changed. Video, audio, stills, and the PDF deck all travel on the same link, so the client learns one surface for the whole campaign.

03 / Internal and client, kept apart

The note you write to your editor is not for the client.

Agencies run two conversations over the same cut. One is with the client and belongs on the record. The other is "the grade is off in the second half, fix before we send" — and it belongs to your team only. When a tool has one thread, that second conversation moves to chat, and by the next version nobody can find it.

Here a comment is marked internal or client-visible. Internal notes sit on the same file, at the same timestamp, next to the client's — visible to your team, invisible on the share link. And because reviewers on a public link are isolated per participant, a client sees their own notes and yours to them, never another client's.

04 / The approval record

Who approved this cut, and when.

That question arrives late, usually from someone who was not on the thread, and usually about a job that shipped two months ago. An agency that answers it with a screenshot of an email is negotiating from a weak position.

Approval is an explicit action, recorded per person and per version — against whoever took it and the exact cut they were looking at. It does not travel forward: when v2 goes up, v1's approvals stay on v1 and the new cut is unapproved until someone approves it. Earlier rounds and their notes stay readable after the next version lands.

05 / What it costs an agency

Per-seat pricing taxes the shape of agency work.

Agencies churn people through projects on purpose: a colourist for two weeks, a client's legal reviewer for one round, a brand lead who appears only at sign-off. Priced per seat, every one of those is a decision, and the usual outcome is that feedback gets relayed second-hand by whoever already has a login.

Storage is the only meter here. Team members are unlimited, client reviewers are unlimited, and that holds on every tier including the free one — so adding the freelancer or the client's stakeholder costs nothing and needs no approval from you.
